We are looking for a Staffing Coordinator to provide support for TIBCO's recruiting efforts
Responsibilities:
Schedule candidate interviews (phone and on-site) for recruiters
Process reimbursement for all candidate interview expense through A/P
Post jobs to TIBCO and external sites and manage postings
Initiate Pre-employment Testing and HireRight Background Checks for all new hires
Initiate and track all customer requested HireRight Background Checks
Create New Hire Offer Letters and send out with New Hire/Benefits Packets
Onboard New Hires and process all new hire paperwork (send out new hire goody bags)
Update iCIMS applicant statuses (scheduled phone interview, extend offer, offer accepted, etc.)
Update iCIMS upon hiring a new employee or Intern (i.e. Emp ID, TIBCO email, source)
Process relocation cost estimates for HRBP's, work with outside vendors to schedule household goods shipments, temp housing, and travel arrangements for relocating employees (domestic and international)
Enter purchase reqs in PeopleSoft and process invoices for all outside relocation vendors
Process relocation reimbursements for employees through payroll
Assist in on-boarding of new Hire through ECOS
Assist in on-boarding of contractors and extension contractors through ECOS
Track status of contractor expiration dates and send reminder emails to managers when contractors are due to expire so IT and Security access is not cut off
Assist with company events (TGIFs, Giving Tree, Back-to-School Drive, Food Drive, HR parties, etc.)
Assist with community relations events (Habitat for Humanity, Rock n Roll, TIBCO Bike Team
Work with Travel Department to arrange Airfare, Hotel & Car reservation for candidates
Qualifications:
3 Years of administrative, HR experience.
Previous experience scheduling interviews and generating offer letters
Extensive experience with Applicant Tracking System
Strong project management skills Strong analytic skills
Strong time-management and organizational skills.
Excellent verbal and written communication skills.
Self-directed and able to work independently.
Ability to multi-task in a challenging and fast-paced environment.
Excellent customer service skills.
Computer Skills: Microsoft Windows Operating Systems, Excel, Power Point, Word and Outlook required. Peoplesoft a plus.
